We cover the main mail providers on this page but the general instructions should help with most mail systems.

 

With unsolicited and unwanted email becoming a larger problem, email services have made their spam filters more stringent. Unfortunately, these tougher guidelines for filtering can cause legitimate emails to be mistaken as spam.

 

Note: We send important notifications to your email address including Forgotten Password Emails, Account Information Emails and Newsletter Emails. [Newsletter Emails can be unsubscribed separately by clicking ‘Unsubscribe’ at the foot any newsletter received or contacting us HERE]

 

Included in this article are instructions for checking the spam filter for the major email providers. Additionally at the bottom you will find instructions for ‘white listing’ so that emails from us do not get marked as spam.

AOL Mail

 

The Spam Folder uses special icons to indicate each message type, such as e-mail from bulk senders or e-mail from people you don’t know. It also displays the date the e-mail was received, the sender’s e-mail address, and the e-mail’s subject line.

 

To check the spam folder:

  • Sign on to the AOL® webmail service HERE.
  • Click the Mail menu, then click Spam Folder.
  • Your Spam Folder will open and display a list of any messages designated as spam.

Gmail

 

  • Log into your Gmail webmail account HERE
  • If the Spam folder does not appear on the left, click the “more” option just above contacts
  • Select Spam to view messages in the spam folder


Note: Gmail’s spam filters also work in your IMAP client by automatically diverting messages that are suspected of being unwanted messages into ‘[Gmail]/Spam’ and keeping them out of your inbox. Sometimes it’s easier to find the offending email by searching for it using the search box at the top of the screen.

Apple me.com, iCloud.com, mac.com

 

  • Log into your iCloud webmail account HERE
  • Select Junk/Spam to view messages in the spam folder
  • Search for and select the email falsely marked as spam and click ‘Not Junk’ in the notification bar.

White Listing or adding us to your Safe Senders list

 

Whitelisting a sender will make sure that messages from a specific email address are always sent to your email inbox.

MSN Hotmail, Outlook.com, Live.com

 

Add the From address you want to receive mailings from to your MSN Hotmail, Outlook.com, Live.com Safe List:

 

  • Open your mailbox HERE and go to Settings then Options (upper right hand corner).
  • Under the “Junk E-Mail” section, you’ll see “Safe Senders”.
  • Click the “Safe Senders” link.
  • Add our email sending addresses or domain into the dialog box.
  • Click the “Add” button next to the dialog box.

 

Tip: If the mailing is in your “Junk E-Mail Folder”, open the email and click the “Not Junk” button.

 

Note: You should also check that the mailing’s email address is not in your Blocked Senders list.  You can find your Blocked Senders list by following the directions above and going to “Blocked Senders List” instead of “Safe List”.  If you see the mailing’s from address on this list, select it and click the Remove button.

 

 

Yahoo! Mail

 

Set up a filter to redirect the mailing you want to receive in your inbox:

 

  • Open your mailbox HERE and click on “Settings” (upper right hand corner).
  • Then select “More Settings” and then “Filters” on the left hand side.
  • Click the “Add” button on the Filters page.
  • In the “From header:” row, make the drop down “contains” and put our email sending addresses in the box.
  • At the bottom of the page Click the “Choose Folder” pull down menu and select “Inbox”.
  • Click the “Save Filter” button.

 

Tip: If the mailing is in your Yahoo Spam Folder open the email and click the “Not Spam” button.

 

Note: You should also check that the mailing’s email address is not in your “Blocked Addresses” list.  You can find your “Blocked Addresses” list by clicking “Settings” then “More Settings” and then “Security & Privacy” on the left hand side.  If you see the mailing’s from address on this list, select it and click the “Remove Block” button.

 

 

AOL Mail

 

Add the “From address” you want to receive mailings from to your AOL address book:

 

  • Click the “Mail Options” menu and select “Address Book”.
  • Inside the “Address Book” window, click the “Add” button.
  • Inside the “Address Card for New Contact” window add our email sending addresses [or the domain] you want to whitelist in the “Other E-Mail” field.
  • Make our From address the “Primary E-Mail” address by checking the associated check box to the right of it.
  • Click the “Save” button. I

 

Tip: If the mailing is in your SPAM Folder, you can open the email and click the This Is Not Spam button.

 

 

Gmail

 

To make sure Gmail never filters as spam mail from a certain contact or domain:

 

  • Click the Settings gear icon on the top right in Gmail.
  • Choose “Settings” in the menu and then select “Filters & Blocked Addresses” along the top.
  • If there’s a list scroll to the bottom and click “Create a new filter”.
  • Type our email sending addresses under From:
  • The click ‘Create Filter from Address’ and choose “Never Send To Spam” then save by clicking “Create Filter”

 

Tip: To whitelist an entire domain (all mail from an address ending in 'example.com', for example), type the just the domain name or the domain name preceded by '@'. To whitelist 'example.com', for instance, type '@example.com' (not including the quotation marks). You do not have to create a separate filter for each address. Separate addresses with '|' in the From: field instead. To whitelist both '[email protected]' and '[email protected]', enter '[email protected] | [email protected]', for example.

 

 

Apple me.com, iCloud.com, mac.com

 

To make sure any Apple webmail never filters our email as spam:

 

  • Log into your iCloud webmail account HERE
  • Click the ‘Actions/Settings’ gear icon, usually in the sidebar
  • Click ‘Add a Rule’
  • Set the filter, if a message is from our email sending addresses then move to your inbox.
  • Click ‘Done’

How to check your JUNKMAIL folder

You can access your JUNKMAIL folder using either Webmail or PINE. Here's how:

 

Using Chebucto Webmail

Using Internet Explorer, Mozilla Firefox or other graphical web browser, go to http://www.chebucto.ns.ca/ and in the mail form there type in your username and mailbox password.

To go to your JUNKMAIL folder, look at the top right of the screen where it says Open Folder. To the right of that is a drop-down menu which says INBOX. By clicking on the word INBOX you can choose to go into any mail folder you have. Select the JUNKMAIL folder by clicking on the word JUNKMAIL.

 

Using PINE on the Chebucto text service

To check your JUNKMAIL folder using PINE on Chebucto's text-based interface, go into PINE to check your mail as usual. When in PINE, type the letter l (small letter L) to see a list of all your mail folders. The junk mail folder or spam folder is a place used to store unwanted incoming e-mail so that it stays out of a user's inbox. All major e-mail clients and webmail services include junk mail folders (usually referred to as spam folders). These filtering systems help users decrease the volume of unnecessary and advertisement-based e-mail prevalent in the 21st century.

How does it work

When you receive a message, your e-mail service looks at the time it was sent, the sender's e-mail address, and the content of the message. If any of these aspects look suspicious, the client filters the e-mail to the spam folder accordingly. E-mail services allow the user to decide what should or should not be sent to the junk mail folder by adjusting certain settings.

How to access the junk or spam mail folder

The destination of the junk mail folder varies slightly between each e-mail service and e-mail program, but they're all in a similar area.

Google Gmail

On the left side of the screen, under the Categories section, click the Selector that opens more folder options in Gmail. icon. You then see an expanded menu with the label Spam.

Yahoo! mail

As soon as you log in to your Yahoo! e-mail account, you see the selector that allows access to the Spam folder on the left side of the screen.

Outlook.com mail

As soon as you log in to your Outlook.com e-mail account, you see the selector that allows access to the Junk Email folder on the left side of the screen.

If you cannot see the folder list, click down arrow in Outlook.com next to Folders to expand the menu.

iPhone and iPad

If you are using the default mail app on your iPhone or iPad, open the Mail app. Navigate to the Mailboxes view by backing out of the Inbox or any mail folders you are viewing.

In the Mailboxes view, you see the Junk folder below the Drafts and Sent folders.

Gmail smartphone app

When using the Gmail app for an iOS or Android smartphone, select the hamburger menu ☰ button in the top-left corner to view all accessible folders. Select Spam from the list of options.

How long does mail stay in junk mail?

Junk e-mail stays in the junk folder until you are near your storage capacity, exceed a set limit, or the junk mail folder is emptied. Depending on how much e-mail you receive, this means junk mail can remain in the folder potentially for years. If you receive a lot of e-mail or lots of e-mail goes to the junk folder, it may only store junk mail for a month or two.

Chosen Solution

FredMcD, rather than deleting all cookies and clearing the cache which is a last measure, I decided to try the Safe Mode first and disabling Hardware Acceleration. (the disabling is just a bite different now with the new Firefox update, but not hard to figure out). Once My "Junk E-mail Folder" showed up after disabling it, I re-enabled my Hardware Acceleration and my "Junk Mail Folder" was still there. I will know what to do to correct it if it happens again!!! Thank-you for all your help! Stay safe, (2 meters away). Milton.

How do I know when I`ve got "Junk"?!

You should receive an email once a day to let you know if messages have been added to your junk mail folder. The email will come from "Postmaster" with a subject of "Junk E-mail report". It will look something like this:-

How do I check my junk mail and see the messages that have been "junked"?

There are two ways to check your junk mail:-

  1. Visit our web based email service at www.ph9mail.co.uk
    1. Log in with your email and password supplied to you in your welcome pack
    2. Once logged in, you will see a folder on the left called �Junk E-Mail�
      1. Note - if you can`t see this folder it will be because you haven`t received any junk mail yet. It will automatically be created the first time you receive junk mail
    3. Click on this folder and you will see a list of messages filtered as junk mail.

  2. View your junk mail in your normal email program



    1. Does the program you access your email look like one of the icons above?
    2. If so you can configure your program so that you can see your junk mail folder.
    3. The instructions are different for each type of email program. Click here to see the instructions for the email program you use.
    4. Note - if you can`t see this folder it will be because you haven`t received any junk mail yet. It will automatically be created the first time you receive junk mail

How do I stop emails going into my junk mail folder? (white listing)

If there is a message in your junk mail folder which is a valid email, and you want to make sure emails from this person never go into your junk mailbox, you can do this by adding them to your white list. Please follow the instructions on how to do this by clicking here.

About spam - and why messages get marked as spam.... and why it`s never 100% accurate

Please note - the reasons messages get marked as spam change all the time as spam trends change. So the below is just a basic guide.

We use SpamAssasin as a junk mail filter on our email servers. It is one of the world�s leading anti-spam products, and one of the most popular and proven. However no anti-spam software (unless it�s a human being) is 100% accurate unfortunately so sometimes you will get valid emails going into your junk mail folder. Our email server sends an email to you once a day letting you know which emails have been put into that folder so you�re aware though.

If you�re getting valid emails going into your junk folder, some of the most likely reasons for this (to name but a few) are:-

  • Their email name isn�t set as their real name (eg they�ve set their email name as MY COMPANY NAME rather than Dave Smith) - spam filters don�t like this unfortunately
  • The subject of their message is something that the spam filter things is spam like
  • The reputation of their domain name (eg myname.com) has a bad spam reputation

That�s just a few reasons though, there are tons of things that set spam filters off. The best thing to do if you keep getting the same person ending up in your junk mail folder is to add them to your white list. For instructions on how to do this, please click here.

Identify and filter junk mail in iCloud

Learn how iCloud filters out unwanted bulk email messages, also known as junk mail or spam, and how to delete and minimize junk mail.

iCloud uses trend analysis, dynamic lists, and other technology to automatically detect and block junk mail before it reaches your inbox. While there isn’t a way to completely stop junk mail from reaching your inbox, these tips can help reduce the amount of junk mail you receive.

Keep images from loading automatically

Spammers use the email image-loading feature to determine whether your email account is active. Here's how to keep images from loading automatically:

  • On your iPhone, iPad, or iPod touch, go to Settings > Mail, then turn off Load Remote Images. 
  • In Mail on your Mac, choose Mail > Preferences. In the Viewing tab, turn off "Load remote content in messages."
  • In iCloud Mail, click the gear icon  in the sidebar, then choose Preferences. Click General, then turn off "Load remote content in messages." Then click Done.

Consider using an iCloud email alias

You can use an iCloud email alias to prevent junk mail from being sent to your primary iCloud email address. For example, you can use your primary iCloud email address for emailing friends and family, but use an email alias for online registrations, purchasing products, and joining mailing lists. This makes it easier for you to monitor the sources of unwanted messages.

Report junk mail

To make sure future messages from the same sender are marked as junk, you can report messages as junk in the Mail app. 

  • On your iPhone, iPad, or iPod touch, swipe left on the message, tap More, then tap Move to Junk. 
  • On your Mac, select the message and click the Junk button in the Mail toolbar. Or you can drag the message to the Junk folder in the sidebar.
  • On iCloud.com, select the message, then click the Flag button and choose Move to Junk. Or you can drag the message to the Junk folder in the sidebar.

Mark legitimate emails as not junk

Filtering out junk mail can block a legitimate email from reaching your inbox.

If you feel that a legitimate email message was accidentally filtered, you can mark it as not junk so that any future messages from the same sender go to your inbox:

  • On your iPhone, iPad, or iPod touch, open the message in the Junk folder, tap the Move to Folder button  at the bottom of the screen, then tap Inbox to move the message.
  • On your Mac, select the message in the Junk folder and click the Junk button in the Mail toolbar. Or just drag the message to the Inbox in the sidebar.
  • On iCloud.com, click the Junk folder in the sidebar. Select the message, then click Not Junk at the top of the message window. Or just drag the message to the Inbox in the sidebar.
  • For other mail clients, move the message from the Junk folder to the inbox.

If you notice that multiple email messages are being delayed, bounced, or not delivered, contact iCloud Support. Email messages in the Junk folder are automatically deleted after 30 days.

How to Delete Spam Emails in Gmail

Junk mail can pile up quickly, therefore Gmail clears the Spam folder automatically every 30 days. If you want to empty it more often or only want to delete certain emails, do the following:

  1. Navigate to the Spam folder.
  2. Above the email list, click on “Delete all spam messages now” to empty the folder.
  3. Confirm deleting all messages by clicking “OK”.
  4. To select certain emails, tick the checkboxes beside the emails you want to delete and select the “Delete” option that appears above the email list.

In the Gmail mobile app, selecting certain emails to delete them is slightly different:

  1. In the Spam folder, tap and hold for a few seconds the first message you wish to remove.
  2. To select more, tap on the rest of the messages in the same way.
  3. Click on the bin icon in the upper right-hand corner.

How to Mark and Unmark Emails as Spam in Gmail

Often the sorting feature doesn’t work accurately, leaving junk mail such as ads in the main inbox folder. If you mark an email as spam, all future messages from the sender will be moved to the spam folder. To do this, follow the guide below:

  1. Open the Gmail Inbox folder.
  2. Tick the checkbox on the left from the email you want to mark as spam. You can select multiple emails at once.
  3. Click on the exclamation point icon to mark a message as spam.
  4. Choose “Report spam & unsubscribe” or “Report spam”. If you choose the first option, you won’t get emails from the sender anymore. If you choose the second option, you will continue to get emails, but they will be sorted into junk mail.

To unmark an email as spam, do the following:

  1. Open the Gmail Spam folder.

  3. Select the “Not spam” option above the message list. The email will now appear in your Inbox folder.

  3. Select “Add to Contacts” from the pop-up window.
  4. Additionally, you can edit the contact’s name and other information by selecting “Edit Contact” in the same pop-up window.
  5. Click “Save”.

  1. Open an email from the person you want to add to contacts.
  2. Tap the sender’s picture and hold for a few seconds.

Why Do My Emails in Gmail Have a Warning Label?

Gmail uses a question mark instead of a sender’s picture as a security warning. It is used when Gmail doesn’t identify an email as spam but considers it as being potentially malicious. The email may still be from a legitimate sender, though. A lot of messages from business emails get recognized automatically, and you don’t have to add senders to contacts. What Is the Difference Between Blocking and Unsubscribing From Emails in Gmail?

You may have noticed that a dropdown menu in your Gmail has two options apart from the “Report as spam” option – “Block” and “Unsubscribe”. If you select “Block”, all emails from that sender will automatically be to the junk mail. Therefore, the “Block” option does essentially the same thing as the “Report as spam” option.

“Unsubscribe” works best for ad subscriptions. If you choose so, you will be deleted from the sender’s mailing list and won’t get messages anymore. You may still receive messages for a few more days, though. In some cases, you will still have to unsubscribe directly on the sender’s website.

How Do I Empty the Trash Folder in Gmail?

Even when you delete all messages from the junk mail folder, they don’t magically disappear. To clear your trash folder, scroll through the left sidebar menu until you see the bin icon, then click on it. Click on the “Empty bin now” option above the email list to delete everything.

To select specific messages, tick the checkboxes beside them and select the “Delete forever” option in the upper left-hand corner of your screen. After you have deleted a message from the Trash folder, you won’t be able to recover it.

How Do I Recover an Email From the Trash Folder in Gmail?

Sometimes emails go into the bin by accident. To fix this, navigate to your trash folder and select the messages you want to recover by ticking the checkboxes beside them. Then, click on the folder with an arrow icon above the email list. From the dropdown menu, select a folder you want to move the emails to. The messages can be moved to your inbox, spam, or a new custom folder.
